行政助理(General Assistant)標準工作程序

最近外國老闆在撰寫公司所有職務的工作職責表,
他寫完的東西在交給秘書翻成中文之後,會拿給我先看過一次,
今天寫到行政助理的工作程序,看到其中的幾段之後我忍不住笑了出來。
這裏同時貼上中英文的版本讓大家看看~:P


行政助理 標準工作程序

7.為賓客提供茶、咖啡、茶點或小點心

 當賓客蒞臨公司,特別是客戶,要好好的招呼他們。
 要知道怎麼泡新鮮的咖啡/茶,跟怎麼服務客人。並準備好現成的餅乾糖果跟點心以便於使用。

 準備茶給客人的步驟:

 1.用高級的茶壺跟乾淨的茶杯。
 2.要用高級的茶葉,不要用一般牌子,像是“立頓”。
 3.泡茶要用茶袋或過濾泡好的茶。
 4.泡茶的時間要控制好,要足以讓味道釋放出來,但是不可以太長,避免茶變苦。
  有些綠茶浸泡的時間要比較長,但大部分只要幾分鐘就可以了。
 5.用拖盤端茶,把托盤留在會議桌上,讓每個人或會議主持者可以使用它。
  茶還沒泡好不好端進去,因為可能有人會馬上飲用。
 6.如果會議超過一個小時,要重新再泡一壺茶。茶葉也要換新的。
 7.當更換新的茶的同時也要將紙屑、垃圾清理乾淨,保持會議室的整潔。
 8.如果是紅茶要將奶球、糖還有攪拌棒一起附上。
 9.準備合適的點心。

 準備咖啡給客人的步驟:

 1.準備咖啡要用高級且乾淨的杯子。
 2.只用高品質的咖啡。
 3.用新鮮的咖啡豆研磨後煮咖啡 。
 4.用咖啡機煮咖啡。
 5.在開會15分鐘前開始準備咖啡。
 6.要附上糖、奶球跟攪拌棒。
 7.準備合適的點心。

↑連泡咖啡跟茶的規定都可以寫上一篇,外國老闆的個性還真不是普通的嚴謹啊!


22.餵魚並注意魚缸清潔。

 幫忙餵魚,如果遇上相關問題,可以向購買魚的工程師尋求協助。

↑看來、南蠻水族館的行政助理還必須具備養魚的相關知識才能勝任~XD


工作情況與勞動狀況:

 1.工作時需要坐在辦公桌與接聽電話,有時需處理會議相關事務、公司展覽活動與外出採買。
 2.輕微的勞力工作。可能需要搬運平均6公斤以下的物品。勞力工作每天不會超過2小時。
 3.不會或極少有身體上的風險。

↑外國人對於工作的相關權利以及義務真的寫得超仔細,到現在為止、我還沒看過其他公司有這種說明的。

General Assistant (Clerk)

STANDARD OPERATING PROCEDURES

7.Provide coffee/tea, or other refreshments and snacks for guests.

When guests come to our company, especially customers, they should be treated as good as possible. The General Assistant should know how to make fresh coffee and tea, and how to serve it to guests. Cookies, candy, or other snacks should be kept on hand for convenient access and use.

General Procedure for making Tea for guests:

1.Use high-quality pots and clean teacups
2.Use high-quality tea. Do not use obvious famous brands like “Lipton”.
3.Use packets or strainers with fresh tea.
4.Allow the tea to soak in the hot water for enough time to bring out the flavor, but not too long in order to avoid bitterness. Some green teas may be left in the water for long periods of time, but most should be removed after several minutes.
5.Serve the tea on a nice tray, and leave the tray on the meeting table, where everyone or the meeting leader can access it. Only bring it into the room after it is finished brewing, not during, because people will tend to pour it immediately.
6.If the meeting runs longer than 1 hour, refresh the tea by brewing another, new pot. Do not use the old tea, because the flavor may be gone.
7.When refreshing or replacing the tea, also remove all papers or discards (trash) at the same time. This will keep the clean feeling of the room.
8.Serve sugar and cream packets with the tea if it is black tea, and stirrers.
9.Serve appropriate snacks with the tea.

General Procedure for making Coffee for guests:

1.Serve the coffee already prepared in highest quality clean coffee cups.
2.Only use high-quality coffee.
3.If brewing coffee, use fresh beans and grind the beans to make the coffee.
4.Make the coffee in the coffee brewer.
5.Prepare the coffee at least 15 minutes in advance of any meeting.
6.Serve sugar and cream packets and stirrers with the coffee.
7.Serve appropriate snacks with the coffee.


22.Feed fish and assure that the tanks are kept clean.

The General Assistant should make sure the fish we have don’t die of hunger, and that the water/filters are clean. If there is a problem, the General Assistant should complain loudly enough that someone like the engineers hears and comes to assist.


WORKING CONDITIONS AND PHYSICAL EFFORT:

1.Work primarily involves sitting at a desk and answering telephones, but could involve standing at a conference or going out regularly to make purchases.
2.Light physical effort. Requires handling of average-weight objects up to 10 pounds or some standing or walking. Effort applies to no more than two (2) hours per day.
3.No or very limited exposure to physical risk.

    泡茶餵魚 端茶 泡咖啡 樣樣都思慮周全
    想辦法讓客戶賓至如歸 卸下 遠道而來的心防
    事情應該 也會順利的多 起碼 心情舒坦些了
    不知道 企業界 有沒有這種類似茶點課程的教育訓練
    再加上 烤餅乾 烘麵包 就能在公司吃下午茶了 ~:P

    不過我倒有點奇怪, 這個什麼general assistant 像office assistant 多於
    clerk... -_-;
